Privacy Policy
Caddie is a notes, planning and focus app for Mac and the web, made by Sriharsha Garlapati ("we"). This policy explains what Caddie stores, where it's kept, and who can see it. The short version: what's on your screen stays on your Mac, your notes and plans live in your own account, and we don't sell or advertise with anything.
What stays on your Mac
- Screenshots and the screen log. When you turn on the screen log, Caddie takes screenshots while you're at your Mac and your own AI (see below) writes short notes about what you were doing. Screenshots and these notes are kept on your Mac only, never synced to your Caddie account, and deleted after the number of days you choose.
- The activity timeline (the Log): coding-agent sessions and screen timelines read from apps on your Mac. Kept on your Mac only.
- Meeting audio. When you record a meeting, audio is captured and transcribed on your Mac. The audio is deleted as soon as the meeting notes are written.
- What's in front: the name and window title of the app you're using, read while a focus session is running so Focus Buddy can notice drift. Held in memory for 30 minutes, never stored or synced.
What's stored in your Caddie account
So that Caddie works on every device you sign in to, the following is stored in your account in our cloud database (Convex) and synced over encrypted connections:
- Your name, email address and a salted hash of your password (we never store the password itself), plus the devices you've signed in on.
- Your notes (including meeting notes and their transcripts), tasks, journal, habits and routines, collections and settings.
- Your chats with Ask Caddie and Focus Buddy.
- Images and files you add to notes.
- For connected services (Google Calendar, Linear, Granola): the access tokens Caddie needs, and the data it syncs from them (see below).
Your AI
Caddie doesn't run its own AI. It uses the AI you already have: Claude Code or Codex on your Mac, signed in to your own Anthropic or OpenAI account, or a Claude API key you provide. When Caddie writes meeting notes, plans your day, answers a question or reads a screenshot, it sends the needed text or image to that provider under your account, and their terms and privacy policy apply. We don't receive or keep copies of what's sent.
Google Calendar
If you connect Google Calendar, Caddie asks for permission to see and edit events on your calendars (calendar.readonly and calendar.events), plus your email address to show which account is connected. Caddie uses this only to:
- show your events on your planner and Today view (from two weeks back to two months ahead),
- make the changes you make in Caddie, such as moving, renaming, deleting or responding to an event, and
- remind you before a meeting and offer to record it.
Events and tokens are stored in your Caddie account so your calendar shows on every device. We don't use Google data for advertising, don't sell it, don't share it with anyone, and don't use it to train AI models. People never read it, except with your permission, for security reasons, or where the law requires. You can disconnect at any time in Settings › Integrations, which deletes the stored tokens and events. You can also remove access from your Google account's security settings.
Caddie's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Linear and Granola
If you connect them, Caddie stores the access it needs and syncs what's relevant to your day: Linear issues assigned to you (and their status, which Caddie updates when you finish a task), and your Granola meeting notes. Disconnect any time in Settings › Integrations.
Sharing
Nothing is public unless you share it. If you share a note, collection or folder, anyone with the link (or the people you invite) can read it until you stop sharing.
What we don't do
- No ads, no selling or renting of your data, no third-party analytics or tracking in the app.
- We don't read your notes, journal or calendar. We'd only access your account data if you ask us to (for support), to keep the service secure, or if the law requires it.
Services we use
Convex (database and backend), Vercel (website and app downloads) and Apple (notarizing the Mac app). They process data only to run Caddie.
Keeping and deleting your data
Your data is kept while your account exists. You can delete notes, tasks and journal entries at any time, and disconnect any service. To delete your account and everything in it, email us at the address below and we'll do it within 30 days. Data on your Mac is removed when you delete Caddie and its folder ~/Library/Application Support/Atlas.
Children
Caddie isn't meant for children under 13, and we don't knowingly collect their data.
Changes
If this policy changes, we'll update it here and change the date at the top. For significant changes we'll tell you in the app.
